PUBLIC INVITATION

for the provision of catering services as part of the “International Meeting of 2CV Friends 2025” from July 29 to August 3, 2025.

SUBJECT OF THE INVITATION

CitroΓ«n Club Slovenia, as the event organizer, is seeking catering service providers to offer high-quality and diverse food, snacks, and desserts suitable for a wide range of tastes for the many visitors. The invitation covers the provision of food and snack services during the World Meeting of 2CV friends 2025, which will be held from July 29 to August 3, 2025, at the Postojna Sports Airport.

WHAT WE WISH TO OFFER VISITORS:

  • Main meals (lunch and dinner) – larger stalls, tents, food trucks, etc.
  • Breakfast (ham & eggs, bread, bakery products, granola, etc.) – smaller stalls, tents, mobile units.
  • Smaller snacks and desserts (ice cream, smoothies, sweets, finger food) – smaller stalls, tents

The entire catering offer will be provided at the central event space. The size of the food tent will be 20×20 meters and it will be equipped with tables and benches. Food providers with stalls or vehicles will be set up around the tent.

Breakfast and snack vendors can also be located in two other spots in the campsite near the bars and restrooms.

Catering services will operate from Tuesday to Sunday, from 7:30 AM to 2:00 AM. On the first day (Tuesday), the venue opens at 10:00 AM. Most guests will leave the event on Sunday, but some may stay until Monday (the venue must be cleared by 12:00 PM). This means that breakfast could also be provided on Monday.

TERMS OF PARTICIPATION

  • Only registered providers of catering services can respond to this public invitation.
  • The provider must submit a valid registration document for performing catering services.
  • The provider may also submit additional references in the form of certified quality standards, quality marks, awards, and recognitions.
  • Food must be served in environmentally friendly packaging (paper, cardboard, or biodegradable plastic according to the SIST EN 13432/EN 14995 standard).
  • The provider agrees to offer food for the entire duration of the event (at least from Tuesday to Saturday).
  • The provider agrees not to accept cash payments but only official event payment cards and will issue receipts through a cash register system provided by the organizer.
  • The provider must submit a menu with prices as part of their offer.

OTHER EXPECTATIONS FROM THE PROVIDERS:

  • Ensure all necessary cooking tools, heating and cooling devices, and other required equipment in accordance with national legislation and regulations.
  • Maintain the cleanliness of the interior and surroundings of stalls and mobile units, and manage waste generated by the service.
  • Ensure proper setup and removal of mobile catering elements, in compliance with instructions and conditions.
  • Properly organize electrical installations within their catering areas, ensuring they are safe and compliant with regulations.
  • Provide food on plates of visitors.

Any damage to the event area and equipment caused by catering activities (e.g., waste oils, etc.) will be repaired by the organizer at the expense of the catering service provider, using a qualified contractor.

OTHER REQUIREMENTS FOR PREPARING THE OFFER

The provider will use their own resources and equipment, while the organizer will provide access to electricity and water.

Food preparation must meet all sanitary and hygiene standards, preserving the nutritional and culinary value of the food.

To avoid menu duplication, the provider must coordinate the menu in advance with the organizer. The organizer will review the submitted menus and propose possible adjustments to ensure variety with other catering providers. It is recommended that prices be similar to those of local restaurants in Postojna.

Throughout the organization and implementation of the event, the provider must cooperate with the organizer and follow their instructions, adhering to required standards.

THE ORGANIZER WILL PROVIDE:

  • The necessary permits for the event.
  • Social and musical programs.
  • Promotion and advertising of the event.
  • Publishing the food offerings on the event website and social media.
  • Security for the central event space.
  • Cleaning of the central event space (except within catering areas).
  • Rental and maintenance of portable sanitary cabins.
  • Access to electricity and potable water.
  • A designated area for accommodation in own tents, trailers, or motorhomes.

FEES AND PRICES

The catering provider will pay the organizer for space rental and electrical connections, and also agrees to contribute 10% of the gross sales (VAT included) to the organizer.

Space rental for the entire event (excluding VAT)

  • Up to 2 m2 (2 x 1 m): 400 EUR
  • Up to 4 m2 (2 x 2 m): 800 EUR
  • Up to 16 m2 (4 x 4 m): 1.600 EUR

Electricity connection prices (excluding VAT):

  • 1P (230V), 10A: 70 EUR
  • 1P (230V), 16A: 100 EUR
  • 3P (380V), 10A: 150 EUR
  • 3P (380V), 16A: 220 EUR

Other requirements (e.g., counters, tables, benches, pavilions) will be finalized during contract negotiations.

SELECTION CRITERIA

  • Variety and affordability of catering services.

DEADLINE FOR SUBMITTING OFFERS

Providers must submit their offers using the attached form by April 7, 2025, to the email address: hrana@2cv2025.si.

EVALUATION OF APPLICATIONS AND NOTIFICATION OF RESULTS

Applications will be reviewed by a three-member commission from the festival’s organizing committee. Incomplete applications will be requested to be completed.

Providers will be notified of the selection decision no later than ten days after the deadline.

A business cooperation contract will be signed with the selected providers.
